Meeting minutes template (and how to fill it in minutes)
Here's a simple meeting minutes template you can copy wherever you work, and a way to fill it in automatically from the recording instead of writing it up from scratch every time.
The template
Meeting title and date. Attendees. A 2-3 sentence summary of what was covered. Topic blocks or chapters, each with its own short summary. Decisions made. Action items, with who's responsible for each one and, if agreed, a deadline. That's the minimum for minutes to actually be useful — not a vague "we discussed X," but something with clear decisions and owners.
Filling it in by hand
You can use this template directly in a document and fill it in while taking notes during the meeting, or afterward while reviewing a recording. It works, but for a one-hour meeting it's easy for this to take another half hour or more to fill in carefully.
Generating it automatically
If you record or upload the meeting to SwiftBOL in Work mode, you automatically get this same structure — chapters by topic, key points, and action items with the assigned person when it's mentioned in the audio — with nothing to fill in by hand. From there you can export it to PDF, Word, or Markdown, or share a public link with anyone who wasn't in the meeting.
Try it with your own audio
SwiftBOL transcribes, summarizes, and structures your meetings and classes in minutes. The Free plan includes 2 hours of audio a month, no credit card required.
