How to organize your meeting notes so you can find them

Good notes are worth little if you can't find them later. A simple system you stick to beats a perfect one nobody uses. Here is the minimum that works.

One place

Pick one folder or tool for all meeting notes and stay in it. Notes scattered across your phone, inbox and notebooks are the number one reason they don't turn up when you need them.

A name you can search for

Name every document the same way: date as year-month-day, topic and people or client, for example «2026-11-05 Budget 2027 – finance team». With the date first, the list sorts itself, and with the topic and client you can find it by keyword.

Summary on top, detail below

Start every note with a three-line summary, the decisions and the action items with owners and dates; the full text goes underneath. You read the essentials in ten seconds and only go into the detail when you need to. SwiftBOL gives you that structure in minutes from the recording: summary, decisions, action items and the full transcript, with chapters and timestamps.

Folders by client or project, not by date

Folders by client or project answer the question you actually ask («what did we agree with this client?»), and the date is already in the name. Avoid more than two levels of folders.

What to keep, and for how long

Don't keep recordings you don't need out of habit: if the transcript and summary are enough, delete the audio when you no longer need it, especially if it contains personal data. Set a time limit and stick to it. And remember: an automatic transcript can contain errors; check the important parts before you file it as official minutes. The Free plan includes 2 hours of audio a month, no card.

Try it with your own audio

SwiftBOL turns your meetings and calls into minutes with decisions and action items in minutes. The Free plan includes 120 minutes of audio a month, no credit card required.
